This is a second post regarding using some of the online EMAIL providers to access separate existing EMAIL accounts. The first post covered <a href="http://blog.smartalyx.com/2009/02/18/online-solutions-for-your-business/">GMAIL </a>. This post will cover another provider called <a href="http://www.zoho.com">ZOHO </a>. Looking at ZOHO&#8217;s homepage you will see they provide a lot of great tools (many I will be covering over the next few posts). This post will focus on <a href="http://mail.zoho.com"> ZOHO Mail</a>.</p>
<p>To make any of this work you will need the POP server settings from your current EMAIL provider- look at the FAQs or give Smartalyx a nudge and we may be able to help. Remember, not all providers have this ability (Yahoo! Basic Email, as an example, does not). You will also need to sign up for a ZOHO mail account. You can create a brand new account with new user and password or you can use your Google credentials if you have them. I like this feature- allows me to use the same user+password combo across two different sites. Google will confirm ZOHO access to your Google account.</p>

<p>Once you get the POP server settings and signed up for ZOHO- let&#8217;s add an account.</p>

<p>Next window choose &#8220;Mail Accounts&#8221;- again up and to the right.</p>

<p>Choose &#8220;Add mail account&#8221;. Choosing &#8220;Add mail&#8221; account will take you to a page where you fill in various bits of information. The first two options are how the newly created account will be displayed in ZOHO. The other information is what your EMAIL requires you to use in order to receive and send your email.</p>

<p>After you enter all the information, choose &#8220;Save&#8221; at the bottom. In the upper right, you will see an option that says &#8220;Back to Mail&#8221;. ZOHO mail is still your default and will be shown when you are looking at your mail. However to see the email from the account you just added, look above the folder list on the left and you will see a downward pointing arrow:</p>

<p>When you click on the down arrow, you will see all your available accounts:</p>

<p>Choose the account name you just created and:</p>

<p>Now you can read your EMAILs that are sent to your ZOHO address or the second EMAIL account just by switching between them using the menu. This can be a great time saver since it allows you review multiple accounts at one place. ZOHO is also web based so you can access the accounts anywhere and with any OS that has web access. Yes, you can also send a reply to an EMAIL and choose which address it is sent from. Specifics coming soon so subscribe to my blog to get it hot off the presses.</p>

		<description><![CDATA[Using GMAIL to access other email accounts]]></description>
			<content:encoded><![CDATA[<p>Decided to extend my look at online solutions for your business. You will see in my previous post I mentioned moving away from local EMAIL and begin using one of the online solutions. I will show you how Smartalyx has been doing that. This post will deal directly with GMAIL, but over the next few posts I will also show how to setup a similar experience using ZOHO tools and others.</p>
<p>First off, you need to make sure that you have POP access to your account. Not all providers allow this (Yahoo basic email does not for example), so you will need to check with your email provider. Once this is confirmed you can then begin using GMAIL to check those accounts. The feature is called &#8220;Mail Fetcher&#8221;. Smartalyx owns and runs the domain &#8220;smartalyx.com&#8221; and all our emails are managed by us as well. We have setup POP access and therefore can use any tool we choose to access our EMAIL.</p>
<p>Why even use an online EMAIL provider when we have local access to our email? Well, online access allows us to use any tools available at the time to review/respond to email. Also if we lose any of our equipment we do not lose the EMAIL. Using an online provider makes the synchronization of information automatic. I can jump on any of our systems (desktop or laptop) login to our online EMAIL and see all my EMAIL. No longer do I need to use a add-on piece of software to sync across multiple systems or devices. I see the same email on my desktop, laptop and even iPod Touch.  So how do we do that? That&#8217;s next.</p>

First thing- setup a GMAIL account. Go to <a href="http://gmail.google.com"> the Google Gmail page</a> and choose &#8220;Sign up&#8221;</p>

<p>Provide the requested information and get your GMAIL account. Google provides <a href="http://mail.google.com/mail/help/intl/en/about.html"> 10 Reasons to use GMAIL</a>. After you setup your account, make sure you are logged in. Choose &#8220;Settings&#8221; in the upper right and then choose the &#8220;Accounts&#8221; tab.</p>

<p>Then choose the &#8220;Add a mail account you own&#8221;. Google provides much detail <a href="http://mail.google.com/support/bin/answer.py?hl=en&amp;ctx=mail&amp;answer=21288"> here.</a> Or feel free to contact Smartalyx to give you and/or your company a hand setting this up.</p>
<p>Once you have followed all the steps the email you have setup will appear in your GMAIL. Using &#8220;tags&#8221; and &#8220;filters&#8221; will allow you more easily see specific Email accounts. I have company email accounts tagged in the picture below.</p>

<p>As you can see EMAILs to my company address are tagged &#8220;Smartalyx EMAIL&#8221; and red, while EMAILs sent to my GMAIL address are not. This makes it easy for me to identify the different accounts. I also leave the other EMAILs on the other providers servers to allow me additional flexibility with my email access and backup (specifics covered in another upcoming post).</p>
<p>Now that I have GMAIL setup this way, whenever I have an Internet connection (regardless of the device I am using) I can go to one web site to see all my EMAIL. No longer do I need to go to GMAIL for my gmail address and then other sites for my other addresses. A great time saver.</p>

<p>A client&#8217;s computer had a hardware failure, so we moved to a new computer. Simple enough- transfer files and bam up and running. Except for Outlook. I understand that MS needs to move on with their software and can&#8217;t be held back by old technologies, but Outlook is basically an EMAIL program used by most consumers. In an office environment it can be so much more, but for the large majority Exchange server does not exist- so all the links built in with calendar and tasks are a little overkill. And you have a harder time avoiding Outlook if you install one of the office suites.</p>
<p>Back to the problem- PST files. I hate them. Why must it be so complicated to store emails, Microsoft? I can move my Thunderbird EMAIL among many computers and operating systems. So this is my call for everyone to give up programs that lock you into a specific format. Look at all the flavors of online EMAIL out there- GMAIL, Yahoo and Zoho are three right off the top. Zoho and Google both have offline modes. You can also have your local tech person setup a GMAIL account to check your other email accounts (POP3 required, your tech guy will know what that is) so all your mail comes into one account. GMAIL allows you to reply through GMAIL using the original EMAIL address (verification emails are used to confirm you are the owner of the accounts)</p>
<p>Using online EMAIL frees up the end user a couple of ways- first your EMAIL is &#8217;safe&#8217; from computer crashes since the data is not only stored locally. And second- the online providers take care of software upgrades and you never need to worry about  version compatibility. Yes, there is the chance an online EMail provider can disappear but stick with the larger companies and that is less likely.</p>
